October 2011 Board Meeting                    (posted Oct 5,  2011)

The Board of Directors met on Tuesday October 4, 2011  in the main floor Board Room.  Brent Mackie called the meeting to order at  7:04 p.m.  Harvey Dube, Wayne Buckle and Frank Mitchell were unable to attend.

A few brief highlights of the Board Meeting  :

  • Items carried over from the previous meeting :
    - Change accounting for Juniors (Lil Rocks & Bantams).
    With a Junior director on the board it had been decided to bring the financial accounting for the Juniors into the Deer Lodge RBC bank accounts under Bruce Kerr's control.  The old account at the credit union was to be closed but there were delays. Doug Bauer and Dan Sul will arrange to close the account shortly.

  • Correspondence :
    From/to the CCA : 
    -None.   
    From/to the CurlMB :
    -Emails received from Shane Ray re Wpg Region Bingo funding opportunities on Oct 30 and Nov 21 at Club Regent casino. 
    -Mail out received with 2011-12 versions of the Competitor Card Order form, Deneen Cup Challenge poster and application form, O'Grady Challenge Trophy application form, application for Bingo Grants, Club Contact Form, Dominion Championship brochure & poster. 
    -Email received re Skills Development clinic on Nov 11.
    From/to WCCA : 
    -Email with minutes of May 9th WCCA meeting and agenda for Sep 28 meeting.
    From/to others : 
    -Mailed out approx. 200 letters welcoming new and returning curlers back for a new season, events on our calendar and announcement re Oct 6 Semi Annual Meeting.
    -Notifications were received from Past Presidents Guy McLachlan, Cliff Murphy and Garry Parker re  donations to the CCA referencing Deer Lodge as the beneficiary.  Thank yous were made.
    - Manitoba Gaming Control Commission returned their signed copy of the license amendment form that was sent in for this season's change in executive contact names.

  • Committee reports :
    -The reports prepared by the committee chairs were the ones to be presented at the Semi-Annual meeting to be held in two days.  Please reference the posting for the October 6, 2011 Semi-Annual meeting.

  • Other Items of Interest
    - In order to support providing food sales in the bar after the kitchen closes it was proposed that we move the small freezer from the main floor and purchase a new one to replace it.  The upstairs freezer would be stocked with products that could be cooked/heated by the bar staff. There was some discussion that we should still be open to making arrangement for pizzas to be ordered in if offerings available from the freezer were found to be lacking.  A motion was passed to go ahead with the purchase.
    - We were informed by Murray Peterson that he is unable to run the annual Junior Bonspiel this year.  It was scheduled  for the weekend of Nov 4 - 6.  There was insufficient time and no volunteers to jump in to organize it for this year.  Vic suggested that we use the open time on the weekend of Nov 4 to fill in with ice current scheduled for the first week of April.  We can then shut done the ice plant a week earlier.  The evening of Nov 4 could also used by the Friday Mixed league.  Rob Keough has also had a request from the city of Wpg. to reschedule some of their Sat. afternoon  "Learn to Curl" sessions (we could offer the use of the afternoon of Nov 5).
    After a brief discussion it was agreed by all that Vic can go ahead and update the ice schedule to eliminate late season ice allocations and use the Nov 4 - 6  time slots previously allocated to the Jr. bonspiel.
    - Last season we didn't order competitor cards to have on hand for sale to curlers.  We referred anyone interested to purchase them directly from CurlMB at their office or electronically through their website.  We agreed to decline the offer to sell them this year as well.  
    - CurlMB has requested more information than just the demographic data be provided when we collect the CurlMB participant fees.  They would also like a list of names of curlers at each club so that they can verify eligibility of curlers registering for CurlMB events.  We will make this a separate list from the demographic info to protect privacy.  Vic will collect the info for the Mens leagues while Doug Mackie will collect from the Associate leagues.  Bruce Kerr will take care of the accounting and payments to CurlMB.
