June 2010 Board Meeting (posted June 21, 2010)The Board of Directors met on Wednesday June 16, 2010 at 7:00 pm. in the main floor Board Room. Colin McLachlan chaired his first meeting as club President for the 2010 - 2011 season. Colin introduced and welcomed the new board members present at the meeting : Ginette Furney and John McLachlan. Unfortunately our 3rd new member, Wayne Buckle, could not attend.A few brief highlights of the Board Meeting : 1. Sean Grassie Proposed Manitoba Curling Tour Event Colin noted that he was informed by Sean that there is not enough time to organize a MCT event at the club for this fall. He is planning on arranging it for the following year. Sean will prepare a written brief overview of event for Board review/approval in the fall 2. Shares for new board members. Vic Palles noted that board members must also be shareholders in the club. In keeping with past practice Vic proposed a motion that Ginette Furney, Wayne Buckle and John McLachlan be granted shares in the Deer Lodge Curling Club in appreciation of their joining the Board of Directors. The motion was passed unanimously. 3. Misc : (i) facility rental rates - Dan Sul and Brent Mackie had presented a set of rates which we discussed at our May meeting. It had been questioned whether there might be an official existing set of rates that had already developed. A search of club documents was done and nothing was subsequently found in the cub's "Roster", "By-Laws" document or dozen or so previous years of Board Meeting minutes. It was suggested that once we agree upon a new set of rates then they could be reviewed and updated at our annual House & Finance budget meeting that is held each Feb. We proceeded to review the new rates document again. Some changes will be required (such as noting that these are for during the curling season only). We decided to continue review at our next meeting in September. (ii) Liability insurance questions - Dan Rosentreter was not available to provide an update. (iii) Cable TV alternative - no update from Frank Mitchell. From/to the CCA : -Received a cheque and name list re donations made to DLCC through the CCA in the 1st Quarter of this year. From/to the CurlMB : -Email received re postponement of the June 5 Business of Curling Seminar. -Sent in proxy forms for DLCC votes at the June 5 CurlMB AGM. From/to WCCA : -Emails received confirming the two events (2010 Christmas Youth Bonspiel and 2011 Youth Jamboree) for which we volunteered to supply ice. From/to others : -Thank you letter was sent to MLA Bonnie Korzeniowski re her donation at the April 16 Men's Dinner. -Bruce Kerr distributed copies of the up to date Balance Sheet and Profit & Loss Statements On the Balance Sheet statement, the total cash in all the club's bank accounts is just over $63K. The bank has still not drawn down on our accounts for our loan. Our Accounts Receivable is above last year's level as there are still a few advertisers that have not paid up. On the Profit & Loss statement, Bruce noted that the smaller turnout for Golf Day and registration night due to the weather resulted in fees collected for Mens Leagues being $2K behind last year. Golf Day & Bar revenues were also lower by approx. $1K. Expenses were under last year as Gas, Hydro and Insurance bills were not yet processed. One positive note is that our Property Taxes have gone down by approx. $1K as a result of the latest reassessment. -House & Finance Chair Brent Mackie provided a verbal House report. Jody and Shirley will be returning next year behind the bar. A new bar staff (Kim) with previous experience at the Heights has also been lined up. Debbie & Bruce have agreed to come back and will address our service improvement demands. Hal will be back as well. No contracts have been signed yet, just verbal agreements. Colin advised us that he contacted Russell Foods and had the fryer fixed as well as the main gas shut off for the summer months. When we are ready to fire up the grille/fryers for the 2010-2011 curling season we must contact Russell Foods and arrange for them to come in turn on the gas and re-ignite all the pilot lights. He is also coordinating a fire alarm/emergency lighting test (life safety) with Pyrene Fire Security within the next week or so. - Chairperson Dan Sul read his prepared report. The annual golf day early bird registration went as good as can be expected considering the weather conditions. At the beginning of the week we had 16 teams, with promising hopes of a few more joining in. Actual numbers for the golfing were about 48, and many left early before the dinner and prize giveaway. We had about 28 paid dinner guests, and sold the remaining steaks off. Dan gave a huge thank you to Custom Trucks for again allowing us to use their bbq, and for George and Wayne for putting up with the weather and doing the barbequing. He also thanked Colin who looked after the money, and our bar staff who kept up with restocking the salads and cleaning up quickly. At registration we received about 30 registrations with cheques and a few without. Brent Mackie was also noted for helping out with the registrations. Dan wasn't sure at first if we needed to put up the registration sign for September 9 at Food Fare on Mount Royal & Portage as we have in previous years, but then decided that it wouldn't hurt. Dan noted that requests for Monday nights are very strong due to the one time slot such that we have a waiting list to join Monday night. It seems that we may have a few spots open on Tuesday and Weds. He has tried offering any other night to teams on the waiting list but unfortunately they all like the one regular 7:30 draw, so none have offered to curl on other nights Problems in translating the format of Brent's electronic documents' from last year have caused him some delays. - Chairperson Frank Mitchell commented that he is waiting on Dan Sul's committee notes from last year's activities in order to get started. - Chairperson Dan Rosentreter was unable to attend the meeting. - There was no update available. - Brent Mackie highlighted that with Norm & Martha Brown winding down their umpiring volunteering for CurlMB events at the club we will have to actively recruit volunteers to fill the void. There will be many hours to fill for events such as the Christmas Jr bonspiel, MCA Bonspiel and spring Youth bonspiel. |
